Leichhardt Volkswagen is looking for a qualified receptionist with experience in admin/reception to work weekends. If successful, you will be joining a team of great people working with one of the world’s most respected automotive brands.

Objectives/Purpose

  • Receive calls for the ALL departments and transfer or take a message and inform the relevant staff
  • Being the first contact to a customer the Greeter/Receptionist
  • You should be an ambassador of the Volkswagen brand, making the prospects and customers feel welcome and comfortable (Host)
  • Establish, build and maintain ongoing good working relationships with customers by anticipating and meeting their needs for information and services.
  • Establish, build and maintain ongoing working relationships with all departments in the Volkswagen Dealership.
  • Maintain or increase customer satisfaction and loyalty with our Business and VW brand
  • Support Service, Sales, Business and Finance and Parts department in administrative roles.
  • Clients in having a pleasant experience when visiting our business

Key Responsibilities

  • Make customers feel welcomed and taken care of.
  • Answer main switch incoming calls and process the enquiry to the appropriate staff member or dept.
  • Being a competent and fast interface between customers and sales/service department.
  • Organize and provide a consistent, pleasant and memorable welcome experience for each customer.
  • Ensure the reception/café waiting lounges are clean and tidy.
  • Support other colleagues as required to meet work demands.
  • Work according Volkswagen standards.

Key Tasks

Client Service:

  • Greet customers with a welcome smile before they approach the desk, take initiative and direct to appropriate Service Consultant
  • Monitor all clients and offer assistance as required, whether introducing to service consultant or offering refreshments.
  • Answer phone within 5 rings and handle customer queries, take messages, or transfer them to appropriate consultant.
  • Follow up on customer inquiries and direct them to appropriate consultant or make an appointments.
  • Inform Sale Manager of customer problems, whilst endeavouring to resolve problems.

Administrative Support:

  • Type quotes/letters; attend e-mails and general office duties.
  • Data entry tasks
  • Update POS material in reception area when low.
  • Plan activities in agreement with other dealership colleagues and managers.

Prospect Database Management:

  • Ensure names and addresses of clients are kept up to date and accurate.
  • Use database for promotions and other marketing activities
